The full implementation of the Poseidon records management system is expected in 2021, with the aim of developing unified and university-level document management. From September, all items will be recorded in the Poseidon records management system, so the postal service will be more predictable for all concerned, and the route of postal items will be traceable within the institution.
As part of the process, the modernization of the Postal Office has begun, the first step of which will be the termination of the collection of outbox on March 15, 2021.
From now on, departments can pick up and drop off their mail at the Postal Office according to a pre-determined schedule.
The Postal Office’s opening hours from March 16, 2021 (until alteration)
- Monday to Thursday 9am to 2p.m.
- Friday from 9-12 p.m.
Postal items can be picked up and delivered at the customer reception time.
The Postal Office will inform the contact person designated by the head of the relevant organizational unit by e-mail about the arrival of the package.
Procedure for personal delivery or personal administration
In case of a request for personal delivery of a consignment or personal administration (eg personal delivery of a letter to a ministry, authority or urgent banking administration to the University), the relevant request must be indicated in advance (at least 24 hours in advance) by e-mail at email@example.com . Personal delivery and administration can only be requested in the case of an external recipient or partner.
Bulk shipping process
The sending of a bulk item (sending more than 20 letters) must be indicated in advance (at least 72 hours in advance) at the e-mail address firstname.lastname@example.org , but in this case the organizational unit must also send the items to the Postal Office.
Please pay attention to the observance of health regulations (eg wearing a mask, keeping a distance of 1.5 meters, no more than one person may be in the office in addition to the Postman’s staff).
